Job Summary

Reports to VP Cloud Engineering.  Acting on own initiative, performs advanced administrative support for executive level manager.  Utilizes a thorough knowledge of the business and/or organization.   Assignments generally involve work of a confidential nature and require extensive knowledge of department, business unit and company practices, policies, programs and product lines.

Job Description

  • Performs professional administrative support directly for the VP Cloud Engineering of a multi – billion-dollar organization, in a fast-paced, demanding environment
  • Schedules, guides and manages the key engagements of the VP
  • Handles highly confidential details for sensitive and critical matters 
  • Drafts, proofs, and prepares correspondence on behalf of executive
  • Arranges internal and external meetings to include all meeting preparations, such as tracking responses to meeting requests, preparing and distributing meeting materials, arranging all technology including web and video conferencing, liaison with outside parties to manage appointments and meetings outside the office
  • Assists in the preparation of agendas, presentations, and correspondence for leadership meetings, board meetings, and other activities as needed
  • Provides friendly and professional office atmosphere, handling in-person, telephone and written communications, and resolves routine and non-routine inquiries
  • Responsible for complex and detailed travel arrangements for executive and other team members including on-site and off-site meeting venues, and any other travel needs
  • Professional daily contact with C-suite executives and their administrative staff
  • Accurately and efficiently conducts normal administrative tasks such as processing expense reports, invoice processing, supply orders, meal arrangements, office files, etc. and uses general office equipment

Qualifications

  • Associate's degree or equivalent
  • 3+ years’ experience working with or supporting a senior executive, or equivalent experience
  • Proven ability to succeed in a demanding, fast-paced environment, maintaining a strong sense of urgency
  • Effective organizational skills with focus on confidentiality, accuracy and attention to detail
  • Excellent verbal and written communication skills
  • Ability to anticipate and proactively resolve potential issues; demonstrating sound judgement / decision-making
  • Demonstrates a positive attitude, resourcefulness and maintains composure in high pressure situations
  • Experience working for a global company; coordinating between various time zones
  • Able to provide support to a widely dispersed team
  • Proficient in Microsoft Office products – Outlook, Word, Excel, PowerPoint, etc.
  • Experience with Zoom, SKYPE and other collaborative meeting forums
  • Experience with other electronic and web-based systems (such as SAP and Concur) to process invoices, travel arrangements, etc.
  • Schedule flexibility to work outside of routine hours
  • Availability for occasional travel to offsite meetings

Education

Associates or Equivalent

High School Diploma or Equivalent
